Clackamas Community College (CCC) seeks to hire an

Admissions and Onboarding Specialist
. This is a part-time, non-union, non-exempt, and non-benefits-eligible position which will work 19.5 hours per week on campus. PURPOSE OF POSITION

:

  • Provide Admissions Center services for incoming students with the goal of supporting recruitment and onboarding of potential students to Clackamas Community College.
  • Serve as a first point of contact and information resource for prospective students, parents, and other key stakeholders regarding enrollment processes including admissions, onboarding, registration, as well as financial aid and general college information.
  • Provide onboarding support to new students and serve as liaison for problem solving with other college departments, students and public.
  • Respond to in-person, email, live chat, phone, and mail communication with prospective and returning students.



ESSENTIAL JOB FUNCTIONS
:






Admissions Center Support (100%)
  • Greet guests to the Admissions Center and in the Wacheno Welcome Hub. Answer general college questions for prospective students, parents, and other key stakeholders. Demonstrate integrity, customer service, trustworthiness, and flexibility at all times. Triage prospective students and families, high school partners, and other key stakeholders to admissions counselors and College Navigators as needed.
  • Develop and maintain current knowledge of college enrollment services, policies, procedures, personnel, and timelines related to enrollment processes including admissions, registration and financial aid.
  • Explain and support students in the process of completing their onboarding steps including admissions application, new student orientation, placement, transferring prior credits, financial aid and scholarship application materials.
  • Assist students with accessing and using key systems including, myClackamas, student email, Navigate. Provide password reset support, and act as an advocate for students to resolve technology issues.
  • Refer students to support services (Veterans, disability, counseling, and more), resources, activities and more-- connect students with specialists in these areas as needed.
  • Take the lead on the large volume of information requests and prospective student inquiries via Admissions Center phone calls, emails, CRM system, live chat, and more; answer or connect with others as needed. Assist with communication via the office's numerous email accounts. Ensure that communication is timely, accurate, and welcoming.
  • Create and manage correspondence, reports, forms, tables, and student records.
  • Perform data entry and provide student record maintenance using the college's integrated student database (Colleague) and CRM system. Utilize numerous functions within the systems to input information, process reports, and support inquiry follow-up.
  • Input student records, prospective student inquiries from events, mail and email sources, admissions contacts, and more. Support mail, email, phone and other methods of follow-up with prospective student inquiries. Delegate work assignments to student office support as needed.
  • Assist with the design, creation, implementation, and maintenance of prospective student communication tracks with the goal of recruiting increasing numbers of new students.
  • Help lead campus tours.
  • Assist team with on campus recruitment events by providing event planning and day of support.
  • Perform general office functions requiring knowledge of correct office procedures, professional written communication, file management, program email, internet and telephone etiquette.
  • Help Admissions Center peer assistants, work study students, and other volunteers as needed.




GENERAL JOB FUNCTIONS:

  • Establish and maintain effective working relationships with students, staff, other agencies, and the general public.
  • Perform other duties as assigned within the scope of the classification.
  • Participate in college committees when requested.
  • Maintain proficiency by attending training and meetings, reading materials, and meeting with others in areas of responsibility, which may require travel.
  • Maintain work areas in a clean and orderly manner.
  • Maintain student confidentiality, data integrity, and comply with all related college, state, and federal standards, including the Family Educational Rights and Privacy Act (FERPA).
  • Communicate with speakers of languages other than English, utilizing translation tools like Language Link and Google Translate among others.

REQUIRED QUALIFICATIONS

:


  • High school degree or equivalent and at least 6 months related work experience. Any equivalent combination of education and experience which provide the knowledge, skills, and abilities required to perform the duties as described.

  • Knowledge of higher education, their admission, registration and financial aid processes.

  • Demonstrated ability to use computers, word processing software, spreadsheets, database systems, and other standard office software and equipment.

  • Ability to exemplify traits that reflect the College's culture, including integrity, a customer service orientation, cultural competency, trustworthiness, flexibility and a willingness to change.

WORKING CONDITIONS

  • The position requires minimal (20-40%) ability to use dexterity and fine motor skills assemble, build or repair machines or other objects. Frequent (51-80% of the time) use of office equipment.

  • The position requires minimal (5-20%) physical effort such as lifting, carrying, or movement, etc. Movements required to complete work are not difficult, and only require some degree of agility and hand eye coordination.

  • The work environment is well protected, with virtually no hazards or obstacles (0-5%). There is very little element of personal risk or hazard. Job conditions are usually stable, with virtually no (0-5%) issues of confinement, temperature change, incident of noise, or interactions of a disagreeable nature, inside/outside work, dirty conditions, exposure to contagious disease, etc.

  • Supervision of others is not a typical function assigned to this position. May provide training and orientation to newly assigned personnel, and may assign work to student workers.
