Full Salary Range: USD $76,200.00/Yr. - USD $158,800.00/Yr.


Special Instructions to Applicants
Onsite/Hybrid Work: This position is student-facing, which requires the incumbent to be physically present up to five times per week during peak periods (i.e., exams, start of school, etc.). During nonpeak periods, the incumbent may be required to be on site 3-4 times per week.

Position Summary
The Director of Records and Assistant Registrar manages the daily operations of the Records Office, including the supervision and training of Records Office support staff. The incumbent determines work priorities and establishes and implements policies and procedures to ensure the accuracy of current and historical student records and efficiently deliver student services to approximately 1,000 J.D.s and 200 LLMs. Represent the School of Law on multiple campus planning committees related to student services. The Director of Records and Assistant Registrar counsels students regarding curricular options, graduation requirements, state bar requirements, and general campus life issues. Administer course examinations, including computerized examinations. Manage the online course schedule in the university mainframe system and law school website. Maintained instructor/course evaluations and compiled various reports for the dean's office, records office, and faculty committees. Compile data on student academic performance, course enrollments, and faculty instructional activities and produce reports as requested. Manage departmental web presence, including content on the school's and external websites, to ensure policy and procedural changes that may affect the law school are disseminated to the student body.

Qualifications
  • Experience hiring, developing, mentoring, and supervising full time staff members. (Required)
  • Experience training and delegating tasks to full time staff. (Required)
  • 5-7 years Experience working in a University Registrars Office preferably in a Law School. (Required)
  • Experience leading, motivating and inspiring staff. (Required)
  • Experience developing and implementing strategies to create efficiencies and a positive customer experience. (Required)
  • Experience developing and writing business proposals and other related documents (reference guides, policy documents, etc.). (Required)
  • Advance working knowledge of University and School of Law policies, regulations and practices with registration management, student record management, and retention. (Preferred)
  • Advanced knowledge of University policies, processes and procedures, including those related to supervising employees, and of Federal and California laws pertaining to the privacy rights of students and access to student information. (Required)
  • Ability to interpret complex policies and develop procedures to ensure compliance. Ability to identify viable solutions within the stipulated guidelines. (Required)
  • Advanced knowledge of advising and counseling techniques to advise graduate or professional students regarding academic rules and procedures. (Required)
  • Advance skill in identifying problems, critical thinking, and problem solving skills. Advanced ability to make good judgments and decision-making. Ability to assess business process, identify operational gaps, and recommend and implement improvements. (Required)
  • Ability to work independently and prioritize workload, assessing time-lines, coordinating numerous assignments/projects simultaneously under competing deadlines. Ability to work with frequent interruptions, distractions and changing priorities and deadlines. (Required)
  • Demonstrated ability to negotiate with campus departments when an exception to policy or procedure is required. (Required)
  • Proficiency with standard office software, internet, and email applications. (Required)
  • Demonstrated skill in organizing and implementing complex functions involving on campus and off-campus constituents. (Required)
  • Skill in speaking clearly and distinctly using appropriate vocabulary and grammar to obtain and convey information to individuals at various levels in the organization, and to individuals in the legal field outside the University. (Required)
  • Strong interpersonal skills to establish and maintain cooperative working relationships. (Required)
  • Ability to maintain confidentiality. Ability to deal with confidential and sensitive information with tact and discretion. (Required)

  • Bachelor's Degree in related areas and/or equivalent combination of education and experience/training (Required) And
