Admissions & Records Manager; Senior Admission and Records

Job Summary:

In collaboration with the Director of Recruitment and Admissions, develop and implement innovative programs and processes for admissions and records management across all iSchool programs. Create a high-touch, responsive, and dynamic experience for candidates and current enrollees.

Duties & Responsibilities:

Major Duties and Responsibilities - Admissions and Records Manager:

Admissions Management - 60%:

  • Provide overall leadership, direction, and supervision for all aspects of Slate, admissions
    review, and records processes for iSchool programs, including but not limited to BS, MS,
    PhD, and advanced study.
  • Supervise and manage the hiring, training, and regular communication of admissions and
    records team to ensure accurate and efficient operations.
  • Provide leadership to admissions team and application reviewers on assessing academic
    eligibility and professional experience for international applicants which varies by
    country.
  • Collaborate with iSchool leadership to advance Diversity, Equity, Inclusion, and
    Accessibility efforts.

Records Management - 40%

  • Supervise and manage the hiring, training, and regular communication of records team to
    ensure accurate and efficient operations.
  • Manage student records administration and provide ongoing leadership for process
    improvement.
  • Together with relevant leadership, manage awarding and processing of scholarships,
    fellowships, and student appointments, as well as delegating processing of these items as
    necessary.
  • Collaborate with iSchool leadership to advance Diversity, Equity, Inclusion, and
    Accessibility efforts.
  • Other duties as assigned.

  • Provide leadership to admissions team and application reviewers on assessing academic
    eligibility and professional experience for international applicants which varies by
    country.
  • Together with the Director of Recruitment and Admissions, design and implement
    strategies and processes to attract a global candidate pool with a focus on diversifying the
    current international population of students.
  • Serve as primary contact for Slate CRM, including data uploads, deliver campaigns,
    candidate messaging, data, and reporting.
  • Counsel and advise admitted candidates as they move through the admissions process
    including consulting them on program fit, answering questions about the admissions
    process, alleviating concerns, assisting with application submission. Counsel and advise
    candidates on the visa application process.
  • Collaborate with iSchool leadership to advance Diversity, Equity, Inclusion, and
    Accessibility efforts.

Records Management - 40%

  • Supervise and manage the hiring, training, and regular communication of records team to
    ensure accurate and efficient operations.
  • Manage student records administration and provide ongoing leadership for process

Additional Physical Demands:

Work is performed in a typical office environment.

Minimum Qualifications:

1. High school diploma or equivalent.

2. Any one or combination totaling four (4) years (48 months) from the categories below:

A. course work in any discipline as measured by the following conversion table or its proportional equivalent:

  • 30 semester hours equals one (1) year (12 months)
  • 60 semester hours or an Associate's Degree equals eighteen months (18 months)
  • 90 semester hours equals two (2) years (24 months)
  • 120 semester hours or a Bachelor's degree equals three (3) years (36 months)
  • a Master's degree equals four (4) years (48 months)

B. work experience in administrative support, admissions and enrollment, customer service, public relations, records management, or closely related experience.

3. One (1) year (12 months) of supervisory or administrative experience in administrative support, admissions and enrollment, customer service, public relations, records management, or closely related experience.

Preferred Qualifications:

Admissions and Records Manger:

Bachelor's degree. Minimum of two years of experience in recruitment/admissions. Minimum of two years of experience working with international audiences. Experience supervising and leading.

Senior Admission and Records Manager:

Minimum of five years of experience in recruitment, admissions, or relationship sales. Minimum of five years of experience working with international audience. Proven success evaluating international credentials and understanding of visa processes. Experience supervising and leading a team.

Preferred: Master's degree. Experience of Slate CRM system and other Illinois campus systems.

Appointment Information

This is a 100% full-time Civil Service 2757 - Admissions and Records Coordinator position, appointed on a 12-month basis. The expected start date is as soon as possible after 10/1/2023. Salary is commensurate with experience.
