Job Summary
The Evaluation Specialist supports the Registration Office through work in a variety of services related to admissions, registration, student affairs, and enrollment management. This position is responsible for managing transfer coursework, degree audits, and graduation processes as well as ensuring accuracy of all information related to academic records. This is a lead position for departmental student-facing services, success in which is assessed in two key areas of accountability: 1) Academic Records Management and 2) Systems, Policy, and Support.
Job Duties & Responsibilities
Key Accountability 1: Academic Records Management (~ 40% of total effort)
- Evaluate student records for graduation. Process includes working with academic advisors, creating forms, setting up graduation clearance process, degree audits, diplomas and the commencement program.
- Ensure students meet all requirements for degree completion.
- Process transcript evaluations, enter historical transcript information, and communicate with incoming students/staff about transfer credits with a mind towards efficiency and customer service.
- Interpret and apply policy and procedure in resolving credit evaluation issues; ensure compliance with state and institutional requirements; research transfer institution accreditation, credit systems, and verify authenticity of transcripts received. Point of contact for transfer credit questions.
- Enter and track majors, minors, and concentrations; process and track Exception to Program Requirements and Areas of Study forms; oversee and adjust degree audit to reflect changes in completions plans.
- Collaborate to ensure integrity of all registration data in database and data warehouse.
- Manage consortium and/or articulation agreements with outside institutions; process Independent Study opportunities.
- Work with other departments in support of Continuous Quality Improvement (CQI) and strategic initiatives around student life cycle.
- Assist Registrar with grades and all end-of-term processing, including academic standing.
Key Accountability 2: Systems, Policy, and Support (~ 60% of total effort)
- Produce reports from student information system (SIS) as needed for administrative and academic departments.
- Perform functional administrative duties in SIS, portal system, and document imaging system such as: registration tasks, table maintenance, and maintaining workflows.
- Create and maintain all database tables related to degree audit and graduation for each catalog year; maintain comprehensive knowledge of all registration processes and their effect on other departments; and perform annual system rollover processes to maintain reporting integrity for future cycles.
- Monitor and report on degree auditing, graduation or any other procedural trends as they relate to the university.
- Revise and innovate institutional degree audit and graduation policy/ procedures to maximize efficiency, equity and the need to meet department and student requirements.
- Lead in training/ assist academic advisors, admissions counselors, and other departments on matters related to registration, advising, and graduation including use of portal; compose/provide training documents as needed.
- Enforce adherence to degree requirements and academic/university policies.
- Build upon and maintain overall understanding of all administrative duties of office, assist in staff training as needed; assist students and faculty with registration concerns.
- Maintain strict confidentiality of student records and other materials or information of a confidential or sensitive nature as it relates to the Family Educational Rights and Privacy Act (FERPA).
- Other duties as required.
What Naropa Requires
- Bachelor's degree in any field, Two (2) additional years of experience in a university/college registration office may substitute for degree.
- Two (2) years of experience in higher education environment and/or experience in database administration, data management and analysis, including work flows and work process expertise
- Working knowledge of Microsoft 365 suite of applications (including Outlook, Excel, Word, etc.)
- Beginner to intermediate knowledge of Student Information Systems (SIS)
- High attention to detail and accuracy
- Sensitive to deadlines and timeliness in responding to/ following up on information requests
- Able to engage in complex trouble shooting
- Able to conduct independent research, analyze data, and overall flexibility in learning new technologies
- Able to synthesize complex ideas and concepts to present/educate/train multiple audiences
- Ability to be thorough and consistent when interpreting records
- Able to maintain privacy and confidentiality in all interactions as required
- Diplomatic, sensitive, empathetic, and tactful when interacting with everyone internal and external to the university

What We'd Like You to Have
- Master's degree in any field – Business admin or Education preferred
- Four (4) years of prior experience in higher education administration, special consideration for those with Registrar office experience
- Experience with student information systems, specifically Colleague, Banner or Jenzabar
- Experience with degree auditing systems and interpreting transcripts
