Clerk V, Admissions and Enrollment
Grade 15, AFSCME Unit position, 37.5 hours/week
Campus Location: Lynn/Danvers Campus
Work Schedule: Monday - Friday, 9am to 5pm
SALARY: $ 2,028.38 biweekly, ($52,737.88 per year) with fringe benefits. An appointment made from outside the bargaining unit (AFSCME) must start at this salary, step #1 of the range or as adjusted in accordance with the AFSCME collective bargaining agreement. GENERAL STATEMENT OF DUTIES:
Responsible for creating a welcoming atmosphere within the Student Success Center. Assists students in understanding and completing procedures for both credit and noncredit enrollment, such as: applying for admission, change of program requests, registration and add/drop, request for transcript(s), and enrollment verification. Gathers required student documentation, assists in the management of student files, and completes data entry and monitors records in an integrated Student Database system. Interacts with students, the public and College faculty and staff.
ESSENTIAL FUNCTIONS:
- Provide customer service to students and parents by phone, in person, via email, and virtually via Centro Hub, by answering questions and advising customers on all aspects of student services
- Determines service needs according to established office policies and provides direct service or refers students appropriately to professionals within the center or around the college.
- Assists prospective and enrolled students in admissions, and records processes; assists students in use of the student portal, Gmail, and other online services.
- Scans and indexes student records.
- Interacts with the Enrollment Team to organize and process documents relevant to students' admission, retention and graduation.
- Participates as an active member of the Student Success Center in the planning and delivery of comprehensive services to students.
- Participates in specialized activities such as recruitment events, Orientation, and Commencement, as assigned.
- Responsible for participating in cross training fellow staff members
- Provides excellent customer service and works with the Admissions and Recruitment Office, Student Support and Advising, and Student Financial Services to increase access to the College and reach the College's enrollment goals.
- Monitor and respond daily to correspondence received on department/divisional e-mail accounts and voicemail inboxes.
- Provide clerical assistance to staff, including coordinating mailings, tracking documents, copying, faxing, information packet compilation and mail distribution.
- Collects and processes documents such as change of program forms, registration forms, withdrawals, enrollment verifications, transcript requests, name changes, etc.
- Processes admissions applications including uploading required documents, determining if the student has met all requirements for acceptance on the general application, and confirming that proficiency has been met.
- Cleans up discrepancy reports as needed for data integrity.
- Serve as back-up for Enrollment Specialists
- Utilize the College's database system (Banner), CRM, and Navigate for all pertinent data entry and processing functions.
- Assist in outgoing call campaigns; deadline reminders, collection outreach and other notifications as necessary.
- May be required to occasionally work evening and weekend events, and report to other campuses if coverage is needed.
- Will be expected to work the Welcome Desk to assist students with the sign in process of the Student Success Center.
- Perform other duties as required or assigned by managers within Enrollment Services.

Job Requirements:
- An Associate's degree with a minimum of 2 years of related work experience in an enrollment services office position or the equivalent combination of education and experience.
- Proficiency in Microsoft Office Suite and data entry required: Excel, Word and Access. Knowledge of accounting practices and principles.
- Ability to perform with energy, enthusiasm, and professionalism as part of a team.
- Strong computer skills, comfort with technology, and demonstrated accuracy with data entry.
- Excellent customer service, interpersonal communication, preferable in a multicultural work setting.
- Demonstrated ability to interact with students and outside agencies to resolve problems.
- Must have the ability to prioritize multiple projects and work independently with minimal supervision in a multitask environment.
- Experience interacting with culturally diverse populations.
- Work with remote technology such as Google Drive, Google Calendar, Navigate, Zoom, Google Meets, etc.
- Ability to occasionally travel between campuses as necessary.
- Candidates will be required to pass a CORI/SORI and/or a National background check as a condition of employment.
PREFERRED QUALIFICATIONS:
- Strong knowledge of the community college system working with individuals of diverse backgrounds.
- Strong customer service skills and ability to multitask
- Strong technology skills and knowledge of Banner or other integrated student database systems preferred.
- Bilingual Spanish is preferred.
