Detailed Description:
The admissions adviser plays a pivotal role in the recruitment and retention of students for the School of Leadership and Education Sciences (SOLES). The adviser communicates extensively with prospective SOLES graduate students through telephone, e-mail, virtual and in-person advising appointments. The adviser also acts as the admissions representative for individuals from the community, faculty, and staff in SOLES and throughout USD. In addition, the adviser will respond to questions and inquiries relating to SOLES, admissions, departmental operations, and projects. In addition, the adviser serves as general administrative support within the department. Under the direction of the Assistant Dean for Recruitment, Enrollment, and Enterprise Development, the adviser coordinates recruitment and retention events (online and in-person) for all SOLES graduate programs. The adviser maintains strict confidentiality regarding all office documents and matters related to visitors, students, and personnel.

Duties and Responsibilities:
  • Advise prospective students throughout the enrollment process by:
    • Responding to inquiries made by prospective applicants and managing prospective student follow-ups
    • Guiding constituents through the online application and program requirements
    • Accurately disseminating information regarding the status of their application
    • Meeting constituents in-person, by phone, or via Zoom to share program details, answer questions, and facilitate program decisions
    • Hosting information sessions, in-person and online, to address prospective/current applicant and newly admitted student needs.
  • With direction from the Assistant Director of Admissions, coordinate and facilitate events to promote the SOLES graduate programs to prospective applicants.
  • Manage prospective student database and assist in maintaining the accuracy of data.
  • Develop and send email communications to inquiry lists and applicants.
  • Edit and/or create advising materials as needed and prepare materials for graduate school fairs and on-campus events.
  • Attend recruitment events (including graduate school fairs) on and off-campus as needed.
  • Assist with the development of recruitment and travel plans for the academic year.
  • Assist with preparation for meetings and presentations.
  • Communicate with internal and external constituents.
  • Provide support to the Assistant Director and Director of Admissions during peak recruitment times.
  • Coordinate the Student Ambassador program and supervise volunteers primarily by:
    • Initiating program recruitment
    • Developing and organizing participant training
    • Delegating program duties to student ambassadors.
  • Work with student ambassadors and graduate assistants to support recruitment needs.

Job Requirements:
Minimum Qualifications:
  • Bachelors degree required. A High School diploma and two additional years of work experience may substitute for Bachelor's degree, at the rate of two years of education is equivalent to one year of work experience.
  • 2-3 years of administrative/admissions experience required. Additional education may substitute for up to one year of work experience, at the rate of two years of education is equivalent to one year of work experience.
  • Valid driver's license required.

Preferred Qualifications:
  • Experience in higher education, admissions, marketing, and/or recruiting preferred.

  • Effective ability to learn, retain, and accurately communicate complex policies, procedures, and program information.
  • Ability to maintain a high level of confidentiality.
  • Ability to establish and maintain effective and productive working relationships with constituents within a diverse, fast-paced, and ever-changing environment.
  • Must be willing to occasionally work early mornings, evenings, and weekends.
  • Must hold a valid drivers license.
  • Understanding of and commitment to the mission and purpose of USD as a private, Catholic, liberal arts-based University.

Computer Skills
  • Must be fluent in word processing, database, and spreadsheet software, including Microsoft Suite, Google Suite, and internal database management systems, including internet and e-mail.
  • Experience using customer relationship management (CRM) systems (e.g. Salesforce, Hubspot), Canva, Zoom, and social media platforms.
  • Ability to use software and implement programs to create, accommodate and enhance existing databases, spreadsheets, and tracking systems.
  • Ability to analyze reports, summarizing and presenting information from the database.

The salary range provided in this posting reflects what we reasonably expect to pay for this position. Actual compensation offered or earned is dependent on experience, education and other factors including departmental budget.
